Real Estate Legal Assistant

Position Summary
REAL-R is looking for a Real Estate Legal Assistant will support a small law firm located in south Calgary with residential real estate transactions, with a strong emphasis on pre‑owned residential resales. The successful candidate will have a year of real estate experience, be proficient with Esilaw 360 & Unity Conveyancing software, and demonstrate exceptional organization, attention to detail, and communication skills.
Key Responsibilities
Prepare, review, and process residential real estate files from opening to closing, with a focus on pre-owned residential resales and related documentation.
Draft, edit, and organize real estate documents, including purchase and sale agreements, mortgage instructions, transfer documents, and trust letters.
Open, maintain, and close files in Esilaw 360, including accurate time entry, disbursements, and trust accounting-related tasks as directed by the lawyer.
Communicate professionally with clients, realtors, lenders, mortgage brokers, and other law firms to obtain information, provide updates, and resolve issues.
Coordinate signing appointments, gather identification and supporting documents, and ensure all conditions are satisfied prior to closing.
Review documents for accuracy and completeness, identify discrepancies, and follow up to correct errors before submission or closing.
Monitor critical dates and deadlines (conditions, financing dates, closing dates) and provide reminders to the lawyer and relevant parties.
Handle general administrative duties related to real estate files, including scanning, filing, organizing correspondence, and maintaining orderly file systems.
Qualifications
Minimum 1 year of recent experience as a real estate legal assistant in a law firm environment.
Strong experience with residential real estate transactions, particularly pre‑home resales and Unity conveyancing workflows.
Proficiency with Esilaw 360 & Unity conveyancing software and comfort learning additional legal/real estate software as needed.
Excellent written and verbal communication skills, with a professional and client‑focused manner.
Highly organized, with the ability to manage multiple files, competing deadlines, and a high volume of details.
Strong attention to detail and accuracy in document preparation, data entry, and file management.
Ability to work both independently with minimal supervision and collaboratively within a small firm setting.
Strong problem‑solving skills and the ability to handle time‑sensitive issues calmly and effectively.
Working Conditions and Compensation
Full-time position with standard business hours.
In office role. Firm is in south Calgary.
Hourly wage: $25–$27, commensurate with experience and qualifications.
